The Role

The Calgary Phil seeks a detail oriented and energetic Artistic Coordinator, Pops to join its administrative team. The Artistic Coordinator, Pops is responsible for ensuring that administrative details for guest artists are completed and processed, including administering contracts, schedules, fee payments, immigration paperwork, and other aspects towards a positive and successful engagement with the Calgary Phil. 

The Artistic Coordinator, Pops reports to the Director, Artistic + Education and serves as a hub of information; coordinating with key members of the Artistic + Education/Outreach, and Orchestra Operations teams to ensure that all schedule and other critical information is communicated to guest artists, guest conductors, and Artistic Leadership accurately and efficiently; and serves as main point of contact for guest artists when they perform with the Calgary Phil. 

Responsibilities

• Coordinate all aspects of guest artists’ appearances with the Calgary Phil for Pops and selected Special projects including:
  • Contracting
  • Arrange hotel and coordinate air and ground travel
  • Prepare advance schedules and final itineraries
  • Process payments
  • Serve as a primary contact while guest artists are in Calgary to perform with the Calgary Phil
  • Ensure guest artist rider requirements are fulfilled
  • Pick-up and deliver materials for Artistic team as required
  • Ensure set-up and clean-up of dressing rooms and Conductor’s Suite before/after concerts
  • Track assigned guest artist hotel and travel expense lines in budget
  • Liaise inter-departmentally and share Artistic materials with Marketing and Development teams
• Other duties and responsibilities as assigned and consistent with this administrative support role

Desired Qualifications

• Post-Secondary Education, or equivalent experience
• A minimum of two years experience in live events, concert production, and/or artistic management
• High level of interpersonal skills to handle sensitive and confidential situations with maturity, poise, and discretion
• Effective organizational and clerical skills with the ability to meet deadlines consistently
• Ability to represent the Calgary Phil professionally and effectively with a wide range of constituents including orchestra members, staff, board, guest artists, audience members, and others
• Appreciation for, understanding of, and sensitivity to the needs of professional artists, including orchestral musicians, guest artists, and conductors
• Knowledge of Microsoft Office 365 and aptitude to learn new software is essential.  Knowledge of OPAS (Orchestra Planning and Administration Software) would be an asset
• Ability to read music, knowledge of symphony orchestra structure, and familiarity with musical terminology is beneficial
• Valid Driver’s License with good driving record
• Excellent written and verbal communication skills
• Keen attention to detail
• Be a team player with a positive attitude

Additional Details

• The salary range for this position is $45,000.00 to $50,000.00 annually dependent on related job experience
• This position requires evening and weekend work to support Guest Artist activities at orchestra rehearsals and performances. Presence on concert site is required.
• The Calgary Phil is trialing a hybrid remote work program. Employees who are eligible for this program may work up to three days/week from an appropriate remote location.
• As part of our full compensation package, Calgary Phil offers three weeks’ vacation, a comprehensive benefits package that includes RRSP contributions, health coverage, an employee assistance program, bonus days off, and other non-cash benefits.

The Role

We are looking for a Part-Time Music Library Assistant to join the Calgary Philharmonic’s Orchestra Operations team. In this role, you will assist the Music Librarian to organize, prepare, and manage the music library for all Calgary Philharmonic rehearsals and performances. You will report to the Director, Orchestra Operations, and work closely with all members of the Calgary Philharmonic’s administrative team and Orchestra musicians. 

Responsibilities

• Assist Music Librarian in the organization of the music library space
• Assist Music Librarian in the preparation of music distributed to the orchestra
• Represent the music library during select orchestra rehearsals and/or performances
• Coordinate reorganization of music upon completion of projects
• Assist in the maintenance of cataloging orchestral library
• Assist in the return and shipment of music rentals
• Assist in bowing and cleaning up of music parts for distribution

Desired Qualifications

• Ability to read music and knowledge of orchestral repertoire
• Strong organizational skills with high attention to detail.
• Proactive, industrious, and capable of working independently
• Strong communication skills, and capable of working collaboratively within a team  
• A sincere interest in arts and culture

• Salary Range: $25/hour, averaging 15-20 hours per week

Adult Recreational Choir Society of Calgary (ARC) is seeking a highly motivated and experienced part time Choreographer & Visual Director (CVD) for our two adult public show performing choirs; our mixed choir, UP2Something and our female voices choir, SHE’S Up To Something. The successful candidate will be responsible for supporting the efficient, effective and sustainable running of the choirs while supporting and advancing the organization's mission, vision, and values.

Reporting to and working with the Artistic Director primarily and the Executive Director collaboratively, the CVD designs and creates dance sequences along with blocking support and other activities as required. They will be enhancing the visual experience of our show through screens, props and other effects as they apply.

Principal Duties & Responsibilities:

• Develop and articulate an ARC philosophy and guiding principles regarding choreography within performing choirs as agreed to by the Artistic Director
• Develop a plan to create, instruct and perform staging and movement in keeping with the above guidelines and consistent with the artistic vision for all season performances, including but not limited to:
  • Become familiar with the repertoire to be performed
  • Create choreography and/or stage movement complementary to selected repertoire
  • Communicate and Collaborate with the director(s) to develop a schedule of instruction
  • Scheduling and communication related to any special rehearsals, auditions, or special dance parts
• Provide choreographic instruction to performing choirs at rehearsals and workshops
• Supervision of and collaboration and cross-training with any Volunteer Assistant Choreographers
• Refine and polish choreography to be performed at a level consistent with the artistic standards of ARC
• Coordinate instructional resources, including video capture of choreography to be posted on various forms, such as our members section of the website.
• Engage and nurture, as appropriate, additional choreographic talent and expertise as it may exist within the membership
• Actively participate in the Production Team as a member of the artistic team and collaborate with the Costuming Team in developing the annual costume plan
• Support the activities of ARC through involvement and participation, including the annual Retreats, Talent Show, Christmas production and season finale
• Assist special part casting by participating in the audition and selection process
• Positively contribute to the ARC culture in keeping with our mission and vision
• Other duties as considered appropriate

Education/Experience Preferred:

• Dance training in any discipline. Minimum 4 years is recommended.
• Previous experience in teaching adults: Minimum 1 year recommended
• Strong communication skills and the ability to engage with our members effectively
• Ability to make instructional videos for the members so that they can practice and work on choreography between rehearsals
• Creativity in adapting teaching methods to meet various learning needs and differentiation and sensitivity to various levels of capacity within the choirs
• Experience in creating engaging and exciting new choreography required

Physical Demands:

• Must be able to lift up to 50 lbs.

Work Location and Commitment Required:

• Applicants must be able to work independently. Hours required will vary depending on the time of year and your work process, but an average of 25-30 hours/month are to be expected, especially from January to early June.
• Salary is competitive and will be based on experience.
• Rehearsal locations are typically held at the First Church of the Nazarene in SW Calgary with workshops and other events and activities being held at other locations in the City of Calgary.
• Must be able to attend Saturday workshops, our weekend retreat in April, Christmas and Year End Show and tech week, and various Tuesday evening rehearsals throughout the year.

Adult Recreational Choir Society of Calgary (ARC) was formed in 2002 to provide creative and challenging opportunities for adults to enrich their lives through musical expression and performance. Growing to three choirs under the ARC umbrella over two decades, all programs are non-auditioned and feature challenging, eclectic and variegated repertoire. Singing is our passion and a diverse membership participates in ARC programs, including those that come from different backgrounds, ages and stages, adding variety and creating a stimulating and supportive community environment for all. ARC show choir performances are characterized by professional staging, colourful costumes, and choreography complementing the music. She focuses her songwriting on storytelling, as her inspiration comes from her background in performing in dance and theatre. Her music evokes the vitality and nostalgia of songwriters such as Vanessa Carlton and Sara Bareilles, but has a distinctive, theatrical writing style that is all her own.
