Job Opportunity: Program Coordinator

The Opportunity: 

This role involves preparing detailed lesson plans and schedules for their portfolio, securing contractors and supplies, and managing resources effectively within designated budgets. By overseeing the planning, training, and supervision of Program Leaders and volunteers, and, when necessary, providing direct leadership for programs, the Program Coordinator ensures the delivery of positive and enriching experiences tailored to participants of various ages and abilities. A commitment to high standards of supervision, professionalism, safety, and creative integration is central to this position.

Grounded in the application of corporate and professional policies and frameworks, this position integrates key principles and standards in their program delivery such as, but not limited to, High 5, Developmental Assets Framework, Fundamental Movement Skills, Creative Youth Development, and Playwork Principles. 

This position reports the Recreation and Active Living Program Specialist with support from the Art and Culture Program Specialist and provides day-to-day supervision to Program Leaders and volunteers.

This is a temporary full-time position from May 4, 2026 to August 28, 2026. The hourly rate for this position is $23.62-$28.08

o Youth and Wheeled Sports Park Program Coordinator
Oversees the planning and delivery of youth drop-in programs out of the Log Cabin and Wheeled Sports Park programming, ensuring safe, inclusive, and engaging spaces for teens and young adults. Supports positive youth development through relationship-based programming and responsive supervision.
o Leaders in Training (LIT) Program Coordinator
Plans and delivers the Leaders in Training program, providing youth with meaningful leadership development, mentorship, and hands-on experience in recreation and culture settings. Recruits, trains, and supervises participants while coordinating placements, evaluations, and goal development.
o Pop-Up Playground and Family Program Coordinator
Coordinates mobile, low-barrier recreation opportunities and family-focused programs designed to increase access to play and physical activity in the community. Manages logistics, equipment, staffing, and site coordination while ensuring programs are welcoming, safe, and developmentally appropriate.
o Adventure Camp Program Coordinator
Leads the planning and delivery of Adventure Camp programs, including staffing, schedules, field trips, and daily operations. Oversees risk management, transportation logistics, and program quality to ensure safe, engaging experiences for participants.
o Art Explorer Program Coordinator
Coordinates creative, arts-based programs that support self-expression, skill development, and inclusive participation for children and youth. Manages program planning, materials, instructors, and schedules while ensuring alignment with safety and accessibility standards.

Responsibilities: 

1. Program Administration and Coordination
• Plan, organize, and implement program logistics within a designated portfolio. This may include activities such as daily plans, art experiences, games, field trips, and program inventory.
• Establish a weekly schedule to complete all tasks and paperwork associated to the portfolio including regular communication to participants/customers.
• Ensure all necessary supplies and equipment are prepared for daily activities or events.
• Adhere to allocated program budget, which would include tracking and recording of expenses, and provide input on expenses to ensure cost effectiveness.
• Remain informed of all upcoming activities and events and ensure that staff are prepared for them.
• Support Supervisor in the promotion of Recreation and Culture Programs to the community.
• Ensure that considerations have been made in the event that a “back up plan” is required for any necessary situation.
• Maintain ongoing communication with Supervisor in addition to attending weekly meetings.
• Maintain good public relations and excellent customer service with all program participants, parents/guardians and stakeholders.
• Finalize program plans and prepares all required supplies, equipment, forms and where required confirms special guests and field trip contacts.
• Collect feedback from participants through questions designated from Supervisor.
• Prepare an end of program report to evaluate successes and areas for improvement within the program.
• Ensure all supplies and equipment are properly stored including an inventory of supplies with suggestions and replenishments.
• Provide high-quality, programs that meet identified program outcomes, standards and requirements.
• Create and foster a safe, welcoming environment for all participants, their parents/guardians and other contributors.

2. Leadership
• Ensure leadership aligns with the City’s strategic and corporate plans as well as values and guiding principles.
• Provide a high level of coaching, training, and mentoring to the Program Leaders and Volunteers and in the achievement of their goals and projects.
• Provide support to Program Leaders and Volunteers in the area of inclusion and behaviour strategies for program attendees.
• Provide the leadership to ensure the efficient and effective ongoing operation of the programs and services provided by the Department as well as continual enhancements to the programs and their processes.
• Receive and investigate complaints or concerns relative to the delivery of Department services and ensure appropriate information is provided or appropriate action taken.
• Respond to customer concerns and complaints using tact and understanding, re-directing to appropriate supervisor.

3. Other Duties
• Understand and adhere to City policies, procedures and standards, whether written or implied, as amended from time to time.
• Contribute to a positive safety culture by always acting in a safe manner and complying with City safety policies and procedures for staff and contractors.
• Act as a steward of the City's Corporate Culture by following the “Values, We Live By”.
• All employees shall act in a safe manner at all times and will report any unsafe conditions, procedures or acts for the benefit of the City. Continual adherence to the City Safety Policy is mandatory.
• Employee are expected to stay current on WHMIS and other safety-related procedures.
• Perform other job-related duties.

Qualifications: 

Required Qualifications: 

• Enrollment in a post-secondary institution in a related field.
• Minimum of one (1) year experience supervising staff.
• Minimum of one (1) year directly related experience in leading recreation, sport, arts, culture, youth and/or related educational programs.
• Minimum of two (2) years’ experience in a child/youth related role.
• Basic knowledge of the benefits and principles of arts, culture, recreation, physical literacy, and/or fundamental movement skills.
• Basic knowledge of healthy child and/or youth development.
• Knowledge in the principles of inclusion and diversity.
• Ability to problem solve and take action when required.
• Strong interpersonal skills with an ability to effectively communicate and a strong customer service orientation
• Ability to instruct, organize and supervise group activities for children/teens in a respectful and fun manner.

Asset Qualifications: 

• Certifications in High Five (PHCD), Safe Talk, or Applied Suicide Intervention Skills Training (ASIST)
• Experience with Recreation or Culture program registration software (Such as CLASS, Inteli, or ActiveNet)
• Experience in Microsoft Office Suite and Adobe Pro.

Conditions of Employment: 

• First Aid Certification (Intermediate First Aid and Level C – CPR or equivalent)
• Valid Alberta Class 5 driver's licence (or provincial equivalent).
• Must obtain a satisfactory review of a three-year Driver’s Abstract, with a maximum of six demerits.
• Hire is dependent on a Criminal Record Check with Vulnerable Sector (CRC) security clearance that is satisfactory to the City of Spruce Grove (required upon offer and is a condition of employment).

Working Environment: 

• Working in an office environment, mobile in the community, and outdoors.
• Monday to Friday; with some evening, weekend and holiday work as required.
• Hours of Work: typically, between the hours of 7:30am to 5:30pm; with youth programs and skate park programming working as late as 8:30pm
• Overtime may be required.
• Local Travel may be required.
• Working in a busy public environment.
• Exposure to noise levels that may exceed 85 decibels - includes large groups of people, including children, scoreboard noises.
